Patient follow‑up that runs itself

We build the system that answers every inquiry, sends lab and consult payment links, books visits and follows up with patients who aren't ready yet. You stay focused on care.

Inquiries

Every inquiry gets an answer tonight

One intake form replaces the stack of separate forms. It sorts people by what they need and sends the right next step from your own email, even at 9:42 pm.

Labs and payments

Lab and consult fees, paid at the right step

The right payment link lands in the right email, so nobody sends invoices by hand and nobody books a consult before their labs are paid.

Lab fee paid at 7:15 am. Your VA got a task to send the requisition before she logged on.

Follow-up

Reminders and follow-ups you never have to send

Blood draws, consults, payment plans and renewals each get a nudge before they slip. People who say "not yet" keep hearing from you, in your voice.

Two reminders before every consult, and a payment plan follow-up on days 2 and 5.

How it works

You handle the care. We handle everything around it.

Here's one new patient's path through a practice we set up. You touch it twice. Everything else goes out on its own, at the right time, from your own email.

Results

Practices we've set up recently

Names and details changed for privacy. Each system was built around the tools the practice already had.

Hormones and medical weight loss

Solo NP with a VA

Before

Every lead booked a 15-minute call first. Lab and consult invoices went out by hand, and new patients filled out ten separate forms.

After

A routing intake form, a CRM pipeline, and lab and consult payment links that send themselves. Instagram comments get an automatic reply with the intake link.

Her VA moves patients along. The emails do the rest.

Hormones, peptides and counseling

NP-owned integrative practice

Before

Inquiries for three different services arrived the same way and got the same generic reply.

After

Welcome packets by service, lab reminders and check-ins, a free guide that feeds a nurture sequence, and a peptide and GLP-1 track added later.

Every new patient gets the right materials automatically.

Wellness and aesthetics

Physician-owned practice

Before

Contacts were stuck in the website builder and the newsletter signup didn't work.

After

A cleaned and migrated contact list, a working signup on the site and an automated welcome sequence with a booking link.

Live 11 days after the first email.

Getting started

Three steps, no new software

We run operations for a cash-pay telehealth practice, so intake, payment links, lab follow-up and HIPAA paperwork are our day-to-day.

  1. A folded clay map with an orange route and a pin
    Step 1Free

    Patient journey map

We go through your intake as a new patient would, then send a one-page map of where people stall and what we'd automate first. We walk through it together in 20 minutes.

  2. Stacked clay building blocks with an orange ball on top
    Step 2

    Build

A fixed price, agreed before we start. Most practices are live in 2 to 4 weeks, with a walkthrough video and a written guide for you and your VA.

  3. A small clay plant in a terracotta pot
    Step 3Optional

    Monthly care

We keep it running, fix what breaks, add emails and forms when you add a service, and check monthly where patients are stalling.

Do I have to switch my EHR?

No. Your EHR stays where it is. The follow-up system handles everything before care starts and hands new patients over to it.

How do you handle HIPAA?

We sign a Business Associate Agreement with every practice and keep clinical details in your EHR. The follow-up system works with contact, scheduling and payment status.

What does it cost?

The build is a fixed price we quote after your free map, so you know the full cost before anything starts. The monthly care plan is optional.

Do I need to buy new software?

Usually not. We build on what you already pay for and only suggest a new tool when it saves you real time or money.

I don't have a VA. Will this still work?

Yes. Most of it runs on its own. Where a step needs a person, like reviewing labs, it's a single click to move the patient forward.

How long does it take?

Most practices are live in 2 to 4 weeks, depending on how many services and forms you have.
